A comprehensive web-based timesheet and payroll management system that transformed SPED Consulting's operations. This platform replaced 7 disconnected tools with one unified solution, featuring dual dashboards for employees and admins, automated workflows, and intelligent rate calculations.
The Challenge
SPED Consulting struggled with critical inefficiencies that consumed 60% of admin time. Admins couldn't see pending approvals across pay periods, email notifications failed due to DNS issues, and complex rate structures caused frequent calculation errors. The team desperately needed a unified solution to ensure accurate time tracking and 100% on-time payroll processing.
Our Solution
We built a custom SaaS platform with powerful features designed to eliminate workflow chaos. The Employee Portal offers Google SSO login, intuitive time entry with service selection, a draft/submit workflow, and a countdown timer to submission deadlines. The Admin Dashboard provides a pending approval queue across ALL pay periods, bulk approve/reject capabilities, an employee status grid, individual rate management, and CSV exports for payroll. Smart Calculations handle hourly rates, fixed rates per service, reimbursements, and automatic $35/month tech stipends. The Email System delivers automated Sunday reminders via Resend API with delivery tracking. Pay Period Management runs on Sunday-Saturday weekly cycles with Wednesday 12PM PT deadlines and automatic status transitions.
The Results
The transformation has been remarkable. We consolidated 7 tools into 1 unified platform, reduced administrative time by 60% (from hours to minutes for approvals), and increased profitability by 15% through accurate billable/non-billable tracking. Since launching in July 2025, SPED has achieved 100% on-time payroll processing with zero missed deadlines. The admin now processes the entire company payroll in under 10 minutes per week, while employees submit hours seamlessly with clear status feedback.
